Job Summary:
The Office Administrative Associate supporting the Contracts Management Function is responsible for providing essential administrative support to the Director of Contracts Management to streamline contracts processes, manage Power BI dashboards, facilitate stakeholder engagement and develop the reports for management reporting, and coordinate team tasks. This role ensures efficient operations, accurate data presentation, and effective communication across teams and stakeholders
Key Accountabilities:
Power BI Dashboard Management:
- Use Power BI and other tools to consolidate data from multiple sources. Design dashboards and reports that clearly communicate key metrics, trends, and insights related to contracts.
- Monitor dashboard performance and recommend improvements for usability and data accuracy.
Management Reporting:
- Act as a point of contact for internal stakeholders regarding contract data and reporting requirements.
- Prepare presentation materials, summaries, and executive summaries for management review meetings. Assist in organizing reporting sessions and taking notes for action items.
- Facilitate communication between the Contracts Management team and other departments to ensure timely delivery of the required inputs for the comprehensive reports.
- Manage scheduling and coordination of reporting meetings and presentations
Task Prioritization and Team Coordination:
- Maintain a tracking system (e.g., task list or project management tool) to monitor ongoing activities, deadlines, and deliverables. Regularly update the team on task status and escalate issues as needed.
- Assist in organizing workflows and managing calendar appointments.
- Track progress of ongoing tasks and follow up to ensure timely completion.
- Support team initiatives by providing administrative assistance, including documentation, correspondence, and meeting coordination.
General Administrative Support:
- Identify opportunities to streamline reporting processes and improve coordination workflows. Share feedback and best practices with the team to enhance overall efficiency.
- Maintain organized records of contracts, reports, and dashboards.
- Distribute memos, reports, and correspondence.
- Support onboarding and training for new team members as needed.
- Ensure compliance with company policies and procedures.
Experience & Education Qualifications:
- Bachelor’s degree in Business Management, Engineering, or a related field.
- Minimum of 8 to 10 years of experience in office administration within customer-focused industry.
- Proficiency in data visualization tools.
- Strong organizational skills and ability to multitask.
- Excellent communication and stakeholder management skills.
- Ability to work collaboratively within a team and prioritize tasks effectively.
- Attention to detail and problem-solving abilities.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint).
