Job Summary:

 

We are seeking an experienced and highly organized Associate Admin to oversee the day-to-day operations of the office. The incumbent will play a key role in maintaining office efficiency, supporting the leadership team and ensuring that all administrative activities run smoothly. Key Responsibilities:

 

Office administration

  • Manage day-to-day office operations, including maintaining office supplies, organizing workspaces, and ensuring smooth office functions.
  • Coordinate office logistics, including office space management, equipment maintenance and vendor relationships
  • Handle incoming correspondence, phone calls and email inquiries, ensuring appropriate follow-up.

 

Executive support

  • Provide administrative support to the leadership team, including calendar management, travel arrangements and meeting coordination
  • Assist in predating reports, presentation’s, and other documentation for internal and external meetings
  • Facilitate communication across departments and serve as a point of contact for staff members and external stakeholders

 

Human Resources Support

  • Assist in recruitment processes, onboarding new employees and maintaining employee records
  • Support employee engagement initiatives, organizing team events and office activities to foster a positive work environment
  • Help coordinate performance reviews and training programs

 

Financial Budget Management

  • Oversee office budgets, track expenses, and coordinate payments with vendors and suppliers
  • Assist in processing invoices, purchase orders and managing petty cash
  • Liaise with the finance department to ensure accurate financial records are maintained.

 

Project Support

  • Support the engineering and operational teams in organizing project documentation, schedules and materials
  • Assist in the preparation of project reports and documentation for senior management
  • Ensure that administrative tasks related to ongoing projects are handled efficiently

 

Qualifications and Requirements:

 

  • Proven experience as an Office Manager, Executive Assistant or similar role in a fast-paced environment
  • Strong organizational skills with the ability to multitask and prioritize tasks effectively
  • Excellent written and verbal communication skills in English and Arabic
  • Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and experience with project management tools
  • Familiarity with budgeting, expense tracking and basic financial administration
  • A proactive, problem-solving attitude with a strong sense of responsibility and attention to detail
