Job Summary:
We are seeking an experienced and highly organized Associate Admin to oversee the day-to-day operations of the office. The incumbent will play a key role in maintaining office efficiency, supporting the leadership team and ensuring that all administrative activities run smoothly. Key Responsibilities:
Office administration
- Manage day-to-day office operations, including maintaining office supplies, organizing workspaces, and ensuring smooth office functions.
- Coordinate office logistics, including office space management, equipment maintenance and vendor relationships
- Handle incoming correspondence, phone calls and email inquiries, ensuring appropriate follow-up.
Executive support
- Provide administrative support to the leadership team, including calendar management, travel arrangements and meeting coordination
- Assist in predating reports, presentation’s, and other documentation for internal and external meetings
- Facilitate communication across departments and serve as a point of contact for staff members and external stakeholders
Human Resources Support
- Assist in recruitment processes, onboarding new employees and maintaining employee records
- Support employee engagement initiatives, organizing team events and office activities to foster a positive work environment
- Help coordinate performance reviews and training programs
Financial Budget Management
- Oversee office budgets, track expenses, and coordinate payments with vendors and suppliers
- Assist in processing invoices, purchase orders and managing petty cash
- Liaise with the finance department to ensure accurate financial records are maintained.
Project Support
- Support the engineering and operational teams in organizing project documentation, schedules and materials
- Assist in the preparation of project reports and documentation for senior management
- Ensure that administrative tasks related to ongoing projects are handled efficiently
Qualifications and Requirements:
- Proven experience as an Office Manager, Executive Assistant or similar role in a fast-paced environment
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills in English and Arabic
- Proficiency in office software, including Microsoft Office Suite (Word, Excel, PowerPoint) and experience with project management tools
- Familiarity with budgeting, expense tracking and basic financial administration
- A proactive, problem-solving attitude with a strong sense of responsibility and attention to detail
