Role Overview
We are seeking an Expediting Officer who will play a key role in ensuring the timely delivery of materials and services by closely monitoring supplier performance and purchase order progress. The role focuses on maintaining proactive communication with suppliers, tracking order status, and coordinating with internal teams to identify and resolve potential delays before they impact project timelines.
A core responsibility will be to support procurement and supply chain operations by ensuring compliance with contractual terms, facilitating smooth document flow, and following up on all stages of the invoice and payment process to ensure timely closure.

Key Accountabilities
1. Purchase Order Placement & Management:
a. Raise and manage purchase orders in accordance with company processes and agreed terms.
b. Ensure timely ordering to meet project schedules and avoid supply disruptions.
c. Liaise with suppliers to confirm order acceptance, delivery dates, and resolve order queries.
d. Maintain accurate order data in SAP and support reporting requirements.
2. Supplier Communication & Support:
a. Act as a first-line contact for day-to-day supplier interactions under the guidance of the Senior Buyer.
b. Follow up on open orders, expedite where necessary, and communicate delivery updates to stakeholders.
c. Support the collection and collation of supplier documentation, including CoCs, RoHS/REACH declarations, and compliance certificates.
3. Procurement Process & Compliance:
a. Ensure adherence to procurement policies, ethical sourcing principles, and delegated authority limits.
b. Support the execution of RFQs (Request for Quotations) and assist in the evaluation of supplier responses.
c. Maintain clean procurement records and ensure audit readiness of transactions.
4. Cost, Quality & Delivery Monitoring:
a. Monitor supplier performance with respect to delivery, lead time, and quality, escalating concerns appropriately.
b. Support the Senior Buyer in gathering data for supplier performance reviews and reporting.
c. Identify and flag cost-saving opportunities or inefficiencies within transactional buying activities.
5. Internal Stakeholder Support:
a. Work closely with internal teams including Planning, Stores, Quality, and Engineering to ensure material availability.
b. Respond promptly to material availability queries and support production readiness.
c. Participate in procurement team meetings and contribute to a culture of collaboration and continuous improvement.
6. Data & Systems Management:
a. Maintain accurate and up-to-date SAP records for purchase orders, vendor data, and part information.
b. Support data cleansing activities and help improve system-driven procurement processes.
c. Assist with the preparation of basic procurement reports or KPIs as required by the Senior Buyer.
7. Development & Continuous Improvement:
a. Take ownership of personal development goals in line with CIPS core competencies.
b. Participate in training and development activities to build commercial awareness and procurement capability.
Experience & Qualification
- Bachelor’s degree (or equivalent experience) in Supply Chain Management, Business, Engineering, or a related field (preferred but not essential). A-levels or equivalent qualifications required as a minimum.
- Working towards, or interest in pursuing, CIPS qualification (Level 3 or above) is desirable. Strong willingness to develop procurement knowledge and commercial awareness.
- Some prior experience in a procurement, purchasing, or supply chain support role is required, ideally in a manufacturing or engineering environment.
- Proficiency in Microsoft Office and basic understanding of ERP systems (e.g., SAP) is advantageous.
