The Procurement Officer is responsible for managing local and international procurement of general materials, ensuring all related documentation and administrative activities are completed accurately and in compliance with company policies and procedures. The role supports uninterrupted operations by securing essential goods efficiently, cost‑effectively, and ethically, while contributing to effective procurement governance and supply chain performance.
 

Key Accountabilities

  • Receive and process purchase requisitions and maintain purchase requisition and purchase order logs in the ERP system
  • Source and engage local and international suppliers, obtain quotations, and prepare techno‑commercial comparison sheets
  • Negotiate with suppliers to achieve optimal outcomes in cost, quality, delivery timelines, and service levels
  • Prepare, review, and process purchase orders, contracts, agreements, and related documentation in line with company policies
  • Ensure procurement documents accurately reflect technical and industrial specifications
  • Coordinate with internal stakeholders including requesting departments, engineering, quality, and logistics teams
  • Arrange pre‑delivery inspections at supplier premises where required
  • Coordinate freight and shipping activities with the logistics function
  • Plan, schedule, and prioritise procurement activities according to required delivery dates
  • Maintain procurement records, contracts, correspondence, amendments, and audit files
  • Track supplier performance, payments, deadlines, and manage claims for shortages, defects, or non‑conformances
  • Develop and maintain strong supplier relationships to support long‑term operational requirements
  • Support continuous improvement initiatives across procurement and supply chain processes
  • Ensure compliance with procurement ethics, confidentiality requirements, and company policies
  • Perform other duties as assigned by the Department Manager or Supervisor.

 

Educational and Experience Requirements

  • Diploma in Business Administration or a relevant field (required)
  • Bachelor’s degree in Business Administration or a related discipline (preferred)
  • Professional certification or training in Purchasing or Procurement
  • Minimum of two years’ experience in procurement or supply chain roles
  • Strong understanding of confidentiality requirements related to procurement and supplier management
