Key Accountabilities 

 

  • Administrative Support:

    • Manage and maintain calendar, schedule appointments, and coordinate meetings.
    • Screen and direct phone calls and emails
    • Prepare and edit correspondence, communications, presentations, and other documents.
    • Conduct research and compile data for meetings, reports, and strategic planning.
    • Manage incoming and outgoing communications, including preparing reports and memos.
  • Meeting & Travel Coordination:

    • Organize and coordinate travel arrangements, including flights, accommodations, itineraries, and visas.
    • Plan and prepare materials for meetings, including briefing documents, agendas, and presentations.
    • Take detailed minutes during meetings and follow up on action items.
  • Project Management:

    • Assist in the execution of strategic initiatives and projects as directed by the President.
    • Track progress on projects, deadlines, and follow-up on delegated tasks.
    • Maintain a high level of confidentiality while handling sensitive corporate and personal information.
  • Stakeholder Management:

    Serve as a liaison between internal/external stakeholders, including board members, executive team, clients, and vendors.Foster and maintain positive relationships with key stakeholders, ensuring prompt and professional communication.
  • Office Management Support:

    • Coordinate special events and meetings organized by the President’s office.
    • Manage expenses, budget reports, and reimbursement processes related to the President’s office.
    • Liaise with HR, IT, and other departments to ensure smooth administrative processes for the President’s needs.

 

Experience & Qualification

 

  • Bachelor’s degree in business administration, Communication, or a related field.
  • Proven experience as an Executive Assistant or in a similar high-level administrative role

 

Key Skills

 

  • Strong organizational and multitasking skills with the ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant tools.
  • Discretion and confidentiality are a must.
  • Strong problem-solving abilities, resourcefulness, and attention to detail.
