Key Responsibilities:

 

 

  • Manage departmental deliverables including project reports and financial reports, ensuring they are submitted to the senior management team and the parent company within the required timeframe.
  • Perform a variety of administrative and clerical duties including scheduling appointments; preparing and composing correspondence, reports, memorandums and inter-office communications; and filing. 
  • Schedules and prepares meetings and conference related to business management functions, establishes the necessary background material, develops PowerPoint presentations when necessary, attends the meetings and records proceedings, coordinates conference/hotel/transportation requirements for visitors when necessary and provide overall follow-up to ensure arrangements are made in a timely manner.
  • Manage special projects related to the CEO’s office and provide special action management when necessary.
  • Perform quality work as part of the ISO 9001:2015 Quality Management System program.
  • Maintain the CEO’s calendar, make appointments and schedule travel arrangements.
  • Review outgoing materials and correspondence for consistency, compliance and conformance with established procedures.
  • Develop and maintain files, records, manuals, handbooks and other related documentation.
  • Monitor the use of office equipment and maintains a stock of office supplies.
  • Initiate, maintain, and follow-up on all assigned workshop Purchase Requests (PRs) and Purchase Orders (POs).
  • Independently resolve administrative and/or clerical issues of moderate difficulty and provide work direction to other administrative staff.
  • Coordinate the CEO’s office and make arrangements for new/visiting employees.
  • Coordinate and develop various business management reports.
  • Assist in the development and implementation of new or revised administrative directives.
  • Maintain the confidentiality and security of all company documents.

 

Experience and Education:

 

  • A Bachelor’s degree required, or Equivalent years of Experience in same field.
  •  A minimum of six to ten years of general office administration.

 

 

Key Skills:

 

  • The ability to work independently and with initiative is preferred.
  • An excellent grasp of Microsoft Office software is required.
