We are looking for a Facilities Coordinator to help us maintain a secure and well-functioning work environment. As a Facilities Coordinator you must manage relationships with vendors and contractors, negotiating contracts, and ensuring that vendors deliver services in a timely and effective manner. 


Core Accountabilities


  • Manage and supervise Facilities & Maintenance Department in order to ensure safe and efficient operation and maintenance of all KATIM office premises and facility services.
  • Ensure all facilities infrastructure is operating effectively to support company day to day operations including supervision of Facilities Management Helpdesk ensuring that raised tickets/concerns have been resolved as per agreed SLA.
  • Manage the operation and maintenance (scheduled and corrective), PPM monitoring and reports of all critical and non-critical services to ensure effective and efficient operation of all facilities services with minimum disruption.
  • Support with facilities and administration tasks which includes processing invoices, PR and PO, GRN in liaison with other business support services, reporting facilities KPIs, management and leadership of FM contractors/service providers, logistic management and issuance of permit to work and gate passes.
  • Project management for new contractions / contractors, fit-out works and/or installations applicable to the facility to include scoping required work, RFP, bidder selection and contract award, and ensure projects are completed within agreed budgets and timescales.
  • Coordinates all activities related to the Asset and Facility management preparation and submission of approvals, requests for Quotations, prepares and monitors the Supply and Contracts activities and maintained the relevant data base accordingly.
  • Follows-up of the Service Contracts, renewals / amendments and necessary approvals for Office equipment’s, building contractors, maintenance team and verification of their invoices.
  • Ensure all government regulatory requirements/standards are complied with, to include air quality, civil defense requirements, renewal of licenses, health, safety & environment.


Experience & Education Qualifications


  • Excellent communication skills and stakeholder engagement
  • Has relevant experiences in both Projects and Facilities Management
  • Diploma/Certificates related to the role with at least 5 years of experiences Knowledgeable in Microsoft office
