In your role as a Coordinator in the Administration department, your responsibilities include supporting regular office operations and administrative tasks. To be successful in this role, you should have excellent organization skills along with the ability to prioritize tasks and meet deadlines in line with the Corporate DNA values and company requirements. 

You will also provide with administrative support to our staff and ensure all daily procedures are managed smoothly. This includes but are not limited to: Admin related activities, Process and report on office expenses.

 

Key Responsibilities

•    Extending Contractor accounts according to validity periods of agreements
•    Maintaining mandatory Contractor liability reports
•    Site Budgeting and Budget Management
•    Internal communication in relation to the site such as Fire Drills
•    Contractor onboarding and offboarding
•    Travel policy implementation to be centrally aligned with Head Quarters
•    Travel and related expense claims, as maybe required
•    Domestic and International: Business Travel Requests approval, travel agency contacts, budget approval process, expense claim check and approval process
•    All documentation / supporting proof related to Business Travel Request claims
General office related queries:
•    Managing the reception at Tampere site
•    Office maintenance issues
•    Managing office supplies 
•    Furniture and office space planning
•    Working closely with the provider on access rights & keys for Contractors & new joiners and collect the keys back from leavers during offboarding

Meeting arrangements and catering orders 
•    Venue arrangements / Event Management
•    Courier services
•    Contact point for vendors
As assigned by line manager
•    Support with IT purchasing; All other Purchases (Support);
•    Creating Purchase Requests according purchase requests from projects or others according process 
•    Agreement negotiations with vendors (or procurement) – request 3 quotes from vendors

 

Education and Minimum Qualification

  • 1-3 years experience in a similar position
