About the role

As an Administrative Officer, you will be responsible for providing comprehensive administrative, operational coordination, and field follow-up support to ensure the smooth operation of the department’s day-to-day activities. This role involves managing records, coordinating actions, supporting ERP updates including SAP/MES where applicable, assisting with PR follow-up, monitoring attendance and manpower visibility, preparing reports, and supporting effective communication across teams.

 

Responsibilities

  • Provide comprehensive administrative support to executives and department teams, including calendar management, scheduling, correspondence, and daily coordination.
  • Coordinate office operations, facilities, vendors, meeting logistics, travel arrangements, and workplace support services to ensure smooth business operations.
  • Manage travel, expenses, invoices, and related documentation, ensuring timely processing, reconciliation, and compliance with company procedures.
  • Organize meetings, reviews, events, and conferences; prepare materials, record minutes, track action items, and follow up on deliverables.
  • Maintain accurate and confidential records, reports, trackers, and departmental documentation while supporting audit readiness and management reporting.
  • Support ERP, procurement, HR, and workforce administration through transaction follow-up, attendance monitoring, onboarding coordination, and process tracking.

 

Basic Qualifications

  • 2-3 years of proven experience in office administration or a similar role.
  • Bachelor’s degree in Business Administration, Office Management, Operations Management, Supply Chain, or a related field.

 

Preferred Qualification

  • Experience in a fast-paced, structured, or cross-functional environment, with exposure to ERP systems, PR follow-up, attendance tracking, reporting, document control, stakeholder coordination, or operational support.
  • Any professional certification or training in office management, document control, ERP/SAP basics, administration, or operations coordination.
